An AI agent for a factory in Portugal costs €8,000–20,000 for one workflow and €15,000–35,000 across several systems; Portuguese public contracts for AI agents have a median of €22,300. Running it costs about €64 a month in model usage for 300 drawing-based RFQs, plus support. The breakdown, the payback maths, the 2026 funding status and GETMILK's prices from €3,900.

An AI agent for a factory in Portugal costs €8,000–20,000 for a single workflow and €15,000–35,000 when it works across several systems, going by the ranges Lisbon firms publish [1][2]. Portuguese public contracts for chatbots and AI agents in 2025–2026 have a median of €22,300 [3]. Running it costs about €64 a month in model usage for 300 drawing-based RFQs (GETMILK's worked example) [4] plus €150–800 a month of support [1][2]. The 75% Linha IA nas PME grant closed in November 2025 [5]. GETMILK starts at €3,900 for a pilot and €7,900 for an integrated agent [6], which by our calculation pays back within 12 months from about 80 RFQs a month.

Key facts

What are you actually paying for?

An AI agent reads what arrives, checks it against your data and prepares a draft for a person to approve. Quotes differ mostly in which of five parts they include.

  1. Discovery: mapping the process and agreeing what a correct answer looks like. A Portuguese AI consultancy charges €2,000–5,000 for a diagnosis [11].
  2. Build: extraction logic, prompts, tests on your documents: by GETMILK's estimate 10–15 days for a simple agent, 22–35 for an integrated one.
  3. Integration: reading the ERP and the mailbox, which moves a project into the second price band. The clean way is an MCP server on the ERP, a small logged service that lets agents and assistants query it through fixed tools (see our MCP guide for Odoo, SAP, PHC and Primavera).
  4. Running: model usage, a server, monitoring. Usually tens of euros a month.
  5. Support: someone who watches accuracy and adapts the agent when products or the ERP change: €150–800 a month for one agent at agencies, €800–2,000 for several systems [2][1].

What does the market charge in Portugal?

Few providers publish prices; BASE, the public procurement portal, has real, checkable contract values [3].

Source typeRangeWhat it covers
27 public contracts on BASE, 2025–2026 [3]€9,086–98,100; median €22,300Chatbots, virtual assistants and AI agents, mostly for public bodies
Same sample, most common band [3]€19,000–19,999 (10 of 27)A first, website-style virtual agent
Private SME on BASE, Viseu, 2026 [12]€74,940 for four automations, about €18,700 eachChatbot, document analyser, inventory and process automation, 12 months' maintenance
Lisbon agency, single-task agent [1]€8,000–15,000; €300–800/monthOne workflow, one system, 3–5 weeks
Lisbon agency, multi-step agent [1]€15,000–35,000; €800–2,000/monthSeveral systems, one approval step, 6–10 weeks

The BASE contracts are mostly citizen chatbots, and VAT treatment was not checked per contract: a reference point, not a price list.

What does it cost per month to run an AI agent?

GETMILK's worked example: 300 RFQs a month, each with a 3-page drawing, which the agent sorts, reads, checks against the ERP and answers with a draft quote. Token counts are our assumptions; prices are vendor list prices on 27 September 2026.

Per RFQ, in plain words:

  • Sorting the email on a small model: 3,500 tokens in, 300 out.
  • Reading the drawing: about 21,900 tokens in. Claude counts 1,500–3,000 text tokens per PDF page plus up to 4,784 for the page image [13][14]; we used the low end plus the image.
  • Checking against the ERP: six look-ups, each re-reading the conversation: 82,500 tokens in, 71% of the total.
  • Drafting the quote and reply: about 12,000 tokens in.

That is about 116,000 tokens in and 6,400 out per RFQ. Adding 25% for retries gives 375 runs a month: 43.6 million tokens in, 2.4 million out.

On Claude Sonnet 5, at $2 per million tokens in and $10 per million out, that is $87.26 + $24.00, plus $1.88 for sorting: $113.14 a month [4]. Prompt caching cuts the biggest line: of the 82,500 tokens in the ERP step, 65,000 repeat the previous turn and cost $0.20 per million instead of $2, while the 17,500 new ones cost $2.50 per million to cache. The bill falls to $72.55, or €63.62 a month: €0.21 per RFQ [4][8]. GPT-6 Sol has the same list prices [7].

With caching, other models range from €4.74 a month on GPT-6 Luna to €121.32 on Claude Opus 5.5 and €311.52 on GPT-6 Astra (Claude's page counts used for all) [4][7][15][8]. The bill scales linearly: about €21 at 100 RFQs, €212 at 1,000. Batch processing halves it [4][7][15]; EU-only processing adds about 10% [4][7]. Thick drawing packs can multiply tokens several times, so set a monthly cap with an alert.

Infrastructure is smaller still: €8.49 a month for an EU server [16], about €75 with tracing, error monitoring and a web front end [17][18][19].

Build or buy: is quoting software or your ERP's AI cheaper?

Check first:

A custom agent wins when RFQs arrive as mixed emails, PDFs and customer standards and the answer depends on your own machines: ERP-native agents do not check a drawing against what your plant can make. We compare the two routes in quoting software vs an AI quoting agent.

When does an AI agent pay for itself?

Payback is hours freed times the cost of an hour. Portuguese manufacturing labour averaged €16.5 an hour in 2025 [9]; estimators cost more. Randstad gives €21,000–42,000 gross a year for an SME estimator in Porto (construction table; there is no manufacturing row) [28]. The €31,500 midpoint plus 23.75% employer social security [29], over 1,760 working hours (our assumption), gives €22.15 an hour, a floor.

No published source measures minutes per RFQ, so we assumed 45 today and 15 with the agent. With GETMILK's integrated agent at €7,900, €190 a month of support and the model usage above [6]:

  • 300 RFQs a month: 150 hours freed, worth €3,323. Running cost: €254. Net gain €3,069 a month: payback in about 2.6 months.
  • 80 RFQs a month: 40 hours, worth €886. Running cost: €207. Net gain €679 a month: payback in about 11.6 months.

So a 12-month payback needs about 80 RFQs a month, roughly 40 estimator-hours. Minutes matter as much as volume: at 30 minutes today and 10 with the agent, the same 80 RFQs pay back in about 21 months. Below that, the case rests on faster answers winning more quotes, which no reliable source quantifies.

Is there funding in Portugal for an AI agent in 2026?

Not for a typical agent project, as of 28 September 2026. The best fit was the PRR's Linha IA nas PME: 75% non-repayable up to €300,000 per company, from €5,000 of investment, covering SaaS (the call names Copilot, Gemini and Claude) and integration consultancy [10]. Banco Português de Fomento lists it as closed, with applications shut since 21 November 2025 [5]. A second notice, Aviso n.º 07/2026, was published on 25 March 2026, but Recuperar Portugal shows it with the same 31 October to 21 November 2025 submission window and marks it closed [30]: it opened no new round.

The other official options, checked the same day:

The Portugal 2030 plan lists 172 calls programmed from September 2026 to August 2027 [33]. The only one naming AI is an €80 million invitation to IAPMEI for "Formação em Inteligência Artificial para as empresas", planned for 30 October to 30 December 2026 in the Norte, Centro and Alentejo regions [33]: it funds training, not an agent build, and the plan does not yet say how companies take part. Treat any "open call" without a published aviso as unconfirmed, and check the BPF page [5] before you budget on a grant. Our digitalisation funding guide covers the wider incentive systems.

What does GETMILK charge?

Prices exclude VAT [34][6][35].

GETMILK's terms: a fixed price in writing; 30% to start and 70% when the agent works on your real data; you own the code and the data.

What to do next

  1. Count your RFQs and time one week. If it is well under 80 a month and each takes a few minutes, an agent will not pay back on hours alone; fix the quoting sheet first.
  2. Check what you already pay for. If you run Business Central or a Cegid ERP, try its built-in agent on ten real RFQs before buying anything custom. If you quote standard parts from 3D files, price a quoting tool first.
  3. If neither fits, test one workflow. Book the free 30-minute audit, where you describe how an RFQ becomes a quote and we say whether an agent makes sense. If it does, a pilot agent on one workflow starts at €3,900 excluding VAT, with human approval on every draft and 70% of the price due only when it works on your real data.

Questions people ask

How much does an AI agent cost?
In Portugal, building one agent costs €8,000–20,000 for a single workflow and €15,000–35,000 when it connects several systems, based on ranges Lisbon firms publish; Portuguese public contracts for chatbots and AI agents in 2025–2026 had a median of €22,300. Running it adds about €64 a month in model usage for 300 drawing-based RFQs (GETMILK's worked example) and €150–800 a month of support. GETMILK starts at €3,900 for a pilot and €7,900 for an integrated agent, excluding VAT.
What is the monthly cost of running an AI agent?
Two parts. Model usage: in GETMILK's worked example, 300 RFQs with 3-page drawings cost about €64 a month on Claude Sonnet 5 or GPT-6 Sol with prompt caching, and from about €5 to €312 depending on the model. Infrastructure: €8.49 a month for an EU server, about €75 with paid monitoring. Then support that keeps the agent accurate: €150–800 a month for one agent at agencies, from €190 at GETMILK.
Is there funding in Portugal for AI agents in 2026?
Not for a typical agent project as of 28 September 2026. The Linha IA nas PME paid a 75% non-repayable grant for AI software and integration consultancy but has been closed since 21 November 2025; a second notice published in March 2026 opened no new round. SICE Inovação Produtiva closed on 30 September 2026 and needed at least €300,000 of eligible spending. The Portugal 2030 plan includes an AI training invitation to IAPMEI for late 2026, which funds training, not agent builds. Check the BPF and Portugal 2030 pages before counting on a grant.
How long does an AI agent take to pay for itself?
In GETMILK's worked example, an integrated agent at €7,900 with €190 a month of support pays back in about 2.6 months at 300 RFQs a month and about 11.6 months at 80, assuming 30 minutes saved per RFQ and an estimator cost of €22.15 an hour. A 12-month payback needs about 80 RFQs a month. The minutes saved are an assumption to measure in your own plant.
Is quoting software or my ERP's AI cheaper than a custom agent?
For standard parts quoted from 3D files, often yes: Toolpath starts at $40 per seat a month. Quoting suites such as Oroox and Quotation Factory cost €990–1,870 a month, or €35,640–72,810 over three years, against €14,740 for a GETMILK integrated agent with support, plus model usage. Business Central's Sales Order Agent and Cegid Pulse cover generic tasks inside the ERP but do not check drawings against your plant's capability.
